Introduction
The Orica Safety Data System contains Safety Data Sheets (SDS), Labels (for internal use only) and Emergency Procedure Guides (EPG's) for selected Materials.
The information in this application is provided solely for use by people authorised to access the Orica Intranet and only in relation to the business of Orica Limited and its subsidiary companies. The information in this application is protected by copyright laws.

How Do I Find a Material ?
Search Tabs Two search tabs, Product Details and More Details, are provided to allow searches based on any combination of a number of fields. Search values can be entered into the boxes provided on one or both pages. The search can then be actioned from either page.
Free Text Search Fields Most search boxes allow entry of free text. The application will search for the entered text/numbers anywhere in the relevant field(s).
ie entering Chlorine in the Product Name field will generate a list of all Materials with Chlorine somewhere in the Product Name and related fields.
"_" can be used as a wild character in any of the free text fields.
ie entering 000__1250601 in the Product ID field will generate a list of all Materials with any characters in the 4th and 5th positions of the 12 digit Product ID (00003125601, 00005125601, etc)
Product Name Search The Product Name search finds all Materials which contain the text/numbers entered somewhere in the Product Name, Synonyms or Proper Shipping Name.
Finding Materials Used/Sold by My Business In most cases the easiest way to locate SDS for Materials used or sold by a business is to select the relevant Material Type. Lists of products, raw Materials and other specified types of Materials can be generated at Group and Business level.
eg lists can be generated for Chemicals Products, Chemicals Raw Materials or all Chemicals Materials for which the business has requested an SDS. Similarly lists can be generated for Chemicals Group Products, Chemicals Group Raw Materials or all Chemicals Group SDS.
Finding Supplier SDS Until recently, Orica has created its own SDS for purchased Materials. Now that suppliers are required by law to provide SDS for all Hazardous Substances they supply, in most cases scanned SDS are being obtained and scanned into the SDS database. As Orica generated SDS are replaced by supplier specific SDS, the supplier name is being entered into the system.
While the supplier data is incomplete, searches on supplier will not always find the expected Materials. Currently, use of Material Type to search for Materials sold or used by the relevant Orica business may prove more reliable than searching by Supplier.
Finding SAP Owner Materials which are purchased or sold through SAP are "linked" to a particular Group. The Company/Group field can be used to generate lists of Materials "owned" by a particular Group in SAP.
Finding Hazardous Substances Hazardous Substances are identified in the SDS database in accordance with the Worksafe Australia criteria.
A Hazardous Substance Y/N/All check box is provided on the More Details tab to allow lists of Hazardous and Non Hazardous SDS to be searched.
Search by Date Changed Lists of Materials which were last updated before, after or between two dates can be generated using the Date Range field on the More Details tab.
Refine Search A "Refine Search" button is provided on the results page to allow you to return to the first pages to change the search criteria and/or the sort order and then re-run the query. The "New Search" button clears all previously entered criteria and sort details from the query screens.

How Do I Display Material Details ?
Click on the icon to display regulatory and other information entered for the material and links to pdf files containing SDS, 2 Page Summaries, Labels and EPG's, as available.
Clicking the file links once will open a new window containing the document. If the pdf window is not displayed, check the Taskbar at the bottom of the screen to locate the new Explorer window containing the pdf file.
The links displayed reflect the types of documents which have been requested for the Material.
Small, Medium and Large Container labels are being created for all Materials as they are "phrased" in The Wercs (ie as they are updated). These "generic" labels do not contain the Net Weight and Address details required for Final Product Labels. Final Product Labels can be created from the SDS details by SH&E Shared Services on request. Due to size limitations, light fast requirements and chemical resistance requirements, specialised printing equipment is generally required to print Final Product Labels.

How Do I Fax/E-Mail SDS/Label/EPG Files ?
The pdf file can be stored for subsequent attachment to an e-mail or can be faxed via the SOE Topcall feature.
To store the pdf file for e-mailing, right click on the appropriate pdf file link on the Search results page and select "Save Target As". Specify the filename you wish to use and the directory from which you wish to attach the file to your e-mail message. The default file name uniquely specifies the material, document type and language.
Using Lotus Notes, create a memo and attach the pdf file using the File -> Attach option.
To fax a document, left click on the pdf file link to open the document in Adobe Acrobat. From Acrobat, select "print", select TOPCALL Fax in the Printer Name box then select "OK". Depending on whether you have previously used Topcall you may be prompted to enter a Username and Password. The correct entry may depend on which part of Orica you are based in (refer to the Help Desk for details).
Once you have successfully logged into Topcall:
- select the system or a personal phone directory you wish to use;
- enter the username/address name of the recipient (as entered in the phone directory);
- check the details which appear in the address box; and
- click on the "send" icon.

How Do I Print / Export a Report ?
Printing the Search Results page will provide an expanded print out showing all the details of the Materials listed. Alternatively, selecting the "print friendly" button will display a condensed list which can be printed or exported for use with other applications (eg people may wish to obtain and work with a list of their Hazardous Materials in Excel).
In addition to the SDS ID, Material Name and Supplier, the "print friendly" list will contain columns, in order for all fields selected in the sort order box (on the More Details tab). This feature can be used to create custom reports.
The list can be highlighted and copied to the clipboard or printed to a text file for use with other applications. The horizontal scroll bar at the bottom of the screen can be used to view columns which are beyond the right hand edge of the screen.
The Explorer "File - Page Setup" option can be used to switch the printer output from Portrait to Landscape or, subject to printer type, different paper sizes.

How Do I Order the Search Results ?
The box on the More Details tab can be used to sort the Materials found by one or more fields. Fields can be selected/deselected until the required sequence is obtained.
Once all the required search details and sort order are entered, selecting Submit Query will present the Materials found in the selected order.

How Do I Create and Use Custom SDS Lists ?
Custom list names can be created and used to quickly retrieve a set of SDS you need regularly.
eg A list name "Chlorine Botany Laboratory", could be created to establish a manifest of Hazardous Substances used in the laboratory.
eg Michael Brazel's Products, could be created to quickly locate products for which Michael is the Product Manager.
User defined List Names are created and edited from the Our List Maintenance tab. Materials can then be added / deleted from the List via the Search Results page.
When a new List Name is created, the creator is prompted to enter contact details and a password (which can be shared). The contact details are captured to allow the system administrator to check with the creator, prior to removing Group Names which are apparently no longer in use (ie which haven't been viewed/accessed for more than two years).
Once the List Name has been created, people can link or unlink SDS attached to the List using the Add to List check box provided at the top of the expanded table of details for each material on the Search Results page. Following selection / deselection of the required Materials, the user clicks the Save List button. The application prompts for entry of the List Name and Password prior to updating the links.
Once Materials are linked to a List, all people will be able to view the Listed Materials by selecting the List Name from the lookup list provided on the Product Details tab.
People can update the contact details and change the password for the List Name at any time from the Our List Maintenance tab.
